How do I access BookJane?

I requested a specific Jane for a multiple days, but more than one Jane confirmed?


When you request for a specific Jane, that Jane will have 4 hours to consider your request. The Jane will accept any shifts that she is available for. Any remaining shifts will be made available for the general pool to accept. Click on "Create Shift" in the menu bar. Input the details of your booking and click on "Search Janes" if you wish to request for someone specific.




How do I add and edit locations in my BookJane account?


Click on "Settings" in your menu. The "Community" tab will allow you to add and edit locations.




What is the cancellation policy?


Cancellation of any accepted shifts requires 12 hours advanced notice.




How do I add more users to my account?


You can add multiple users to access your BookJane Essentials account to help you manage your locations and bookings. All users will receive update emails when any shift changes occurs. Click on "Settings" in your menu. Click on the "Secondary Users" tab.




How do I change my account information?


You can easily change any of your account information by click on "Settings" in your menu bar. In Settings, you can: 1. Update your account information 2. Change your community (location) information 3. Add secondary users 4. Set up trained Janes 5. Block any Janes




I forgot my password, how do I reset my password?


Password resets can be found on the login page. From the login page please click "forgot password". An email will be sent to you with instructions.




How I communicate with a Team Member?





What precautions are taken from BookJane to ensure safety?


All Janes holds the following documents while working at BookJane: - Applicable diploma’s/memberships/experience - Vulnerable Screen Check - Standard First Aid and Level C CPR - Up to date immunizations Janes have completed learning materials on best practices and expectations for their position and during COVID-19. Weekly, all Janes must complete a pre-screening prior to working. Each caregiver completes a declaration to confirm they are fit to work. All Janes are expected to meet the above expectations or lose access to their account. In addition, BookJane’s technology makes it possible for any client to identify trained agency members allowed in your facility if you wish to limit the number of people working at your site. Please contact for more details!




How do I create dedicated teams?


Dedicated Teams identify trained agency members allowed in your facility. Only they will be able to accept your shifts unless you choose to override this.




How do I see my shifts in the shifts module?





How can I edit a shift after its start time?


BookJane is paperless: Janes clock in and clock out for every shift for a digital timesheet. After a shift ends, you may make edits and approve timesheets up until 4pm EST on the following Monday. If a timesheet is not approved, the timesheet will default to the originally booked time.




How do I export timesheets?

What is BookJane Agency?


BookJane Agency grants home-care agencies access to the BookJane platform of available jobs. Once approved, home-care agencies will be able to register their own caregivers onto BookJane. From there, an agency caregiver will be able to use the BookJane app to browse and accept any available job on the BookJane platform.




What information do I need in order to register my agency for BookJane Agency?


To register for BookJane Agency, please have the following information ready to input: 1. Liability Insurance 2. WSIB / OSHA details (applies only to agencies with employees) 3. Direct deposit information 4. Location details (address) 5. Serviceable positions




How do I register my Agency for BookJane Agency?

What positions can agency staff work for on BookJane?


During the registration, you will be asked to select the positions your agency caregivers can provide. The positions are: Child Care – Early Childcare Assistant – Registered Early Childhood Educator – Child / Youth Worker Health Care – Companion – Personal Support Worker (1:1 & Shift) – Registered Practical Nurse – Registered Nurse – Developmental Services Worker – Recreation Aide – Social Service Worker – Health Care Aide Food Services – Cook – Dietary Aide – Dishwasher – Server Housekeeping Services – Housekeeper – Laundry Aide General Services – Handyman – Concierge




How do my workers access the BookJane platform?


Once your account has been approved, you’ll be asked to submit the email addresses for all of the caregivers you would like to register onto BookJane. We will send those caregivers an email outlining how they will be able to download and register themselves onto the BookJane app. All agency caregivers will be given a unique agency code; the code will be used to identify which agency the caregiver is a member of. All agency caregivers will be required to input the code in order to complete the registration process.




Does my Agency need to have insurance to sign-up for BookJane Agency?


Yes, all agencies interested in using BookJane Agency are required to have liability insurance.




Why does BookJane require Direct Deposit information?


All agencies will receive payment from BookJane via direct deposit. Please ensure that your direct deposit information is correct and up-to-date.




My Agency has multiple locations. Can I set up accounts for multiple locations?


Yes. During the registration process, you will be asked to set up one location. If your agency has multiple locations, you can create separate locations afterwards by clicking on “Locations” in the “Settings” tab at https://bookjanej360.com/agency




What shifts would my staff see?


Your staff will be able to see thousands of available shifts from BookJane’s extensive network of partners.




What precautions are taken from BookJane to ensure safety?


Each client is vetted prior to being approved to access BookJane’s pool of workers.




How do I add my staff to BookJane?


Before you are able to see and fulfill any shifts, you must first add your Team. Click on Team in your menu bar. Click on Invite Team Members. You can invite your staff through one of two ways: 1) Input your staff member’s email addresses in the Invite Team Members page’s Invite field. When you click Send, your staff will receive an email with further instructions on how to create a BookJane app profile. 2) Ask your staff to download the BookJane app and sign up for a profile. Share your Access Code with them to input upon Sign Up on the app.

How do I review my schedule of upcoming shifts?


Click on “schedule” in your menu bar: Any of your accepted shifts will show up in your schedule so you know when and how many hours you’ll be working. At the top is a calendar showing dates with accepted jobs. Below that are your upcoming jobs in list view.




I accepted a shift, but it is not in "Schedule"?


When you apply to a shift successfully, you are fully booked when the shift is in your "Schedule". If the shift is not in "Schedule", you are not booked for the shift. Please review "Jobs" and apply for another job.




I was requested for a shift, but it is no longer available. Where did the shift go?


If you were requested for a shift—great job! This means you made a good impression on the client and they want you to come back. However, you only have 4 hours to accept the shift. After 4 hours, someone else can accept the shift.




I am late for my shift, what should I do?


Call the client immediately to report your delay. Alternatively, you can also contact the client through the communication feature in the app. You can communicate in-app with the administrators of each job location by instant messaging or voice and video call. You can intiate messages but only recieve calls from administrators.




I need to cancel a shift, what should I do?


If you need to cancel a shift, cancel the shift in your app IMMEDIATELY. Do not leave the shift in your app if you are unable to make it. If a shift is in your "schedule", the client is expecting you to arrive and work. Please be mindful, and remember we have a cancellation policy:

How do I clock in and out?


BookJane is paperless! Instead, everyone will Clock In & Out straight from the BookJane app at the beginning & end of each shift!

When you cancel a confirmed shift 24 hours before the start time, you will encounter a $30 cancellation fee. This cancellation fee will be deducted from your next pay. To avoid the $30 cancellation fee, refrain from canceling any confirmed shifts. Make sure you review the shift details, including location, date, time and dress code (if applicable) before accepting a shift. BookJane monitors all shifts that are cancelled. You may be blocked from the BookJane app and will not see any shifts if this becomes a pattern. If you need to cancel a shift within 24 hours of the start time, please cancel the shift on your app. Did you cancel a shift and encountered the $30 cancellation fee but have a doctor’s note? Email documents@bookjane.com. We will review your case. Effective November 4th, the following policy will be enacted:




Why was I paid a different amount?


The pay on the app is an estimate. The app estimate may not include unpaid breaks, adjusted times as requested by supervisors for late arrivals, or any bonus' or promotions. If you believe you should have been paid a different amount, please email billing@bookjane.com




I forgot my password for the app, how do I reset the password?





How do I communicate with a client?


You can instant message a client if you need to tell them anything important: You can communicate in-app with the administrators of each job location by instant messaging or voice and video call. You can intiate messages but only recieve calls from administrators.

What is the BookJane mobile app?


The BookJane mobile app is the primary method for any Jane to readily see and accept jobs for single or multiple positions applied for. Use your mobile phone to get notifications, view available jobs and access your schedule. Finding work has never been easier! Click here to view the video.




What does "Work where, and when I want" mean?


Work where you want and when you want! Picking up shifts is easy: – When you see a shift you like in the app, click "Accept" to take it! – We have shifts on weekdays and weekends – We have day, evening and night shifts – There is no minimum number of hours for you to work – There is no maximum number of days off The BookJane app works with your schedule.




Can I work in multiple positions?


Yes! There are no restrictions on how many positions you can work. Work in one position or all, as long as you meet all the requirements each position is asking for. Here are the requirements for each position: Senior Caregiver: Personal Support Workers – PSW Certificate - Issued in Ontario – Experience in LTC, Acute care, community care – Current Standard First Aid and CPR Certificate Level C or HCP – Two Step TB Test and up to date immunizations – Police Reference Check with Vulnerable Sector Screening for Employment – 2 Professional References Senior Caregiver: Registered Nurse/Practical Nurse – RN/RPN Diploma – CNO Registration with Good Standing – Experience in LTC, Acute care, community care – Current Standard First Aid and CPR Certificate Level C or HCP – Two Step TB Test and up to date immunizations – Police Reference Check with Vulnerable Sector Screening for Employment – 2 Professional References Child Caregiver: Registered Early Childhood Educator – CECE Registration with Good Standing – Experience working in Child Care Centres – Current Standard First Aid and CPR Certificate Level C – 1 Step TB Test or clear chest x-ray obtained within the past 6 months and up to date –immunizations – Police Reference Check with Vulnerable Sector Screening for Employment Child Caregiver: Early Childhood Assistants – Experience working in Child Care Centres – Current Standard First Aid and CPR Certificate Level C – 1 Step TB Test or clear chest x-ray obtained within the past 6 months and up to date immunizations – Police Reference Check with Vulnerable Sector Screening for Employment Service Professional: Housekeepers, Dishwashers, Servers, Cooks – One piece of government ID – Experience in the industry i.e. using industrial equipment – 2 professional references – Servers: Smart Serve Certificate, Food Handlers Certificate – Cooks: Food Handlers Certificate




What are the requirements for Senior Caregivers? (PSW/RPN/RN)


Personal Support Workers:

  • PSW Certificate - Issued in Ontario

  • Police Reference Check with Vulnerable Sector Screening for Employment

  • Experience in LTC, Acute care, community care
  • Current Standard First Aid and CPR Certificate - Level C or HCP
  • Police Reference Check with Vulnerable Sector Screening for Employment
  • 2 Professional References

Medical Requirements:
  • Senior applicants (PSW, RPN, RN) must show proof of medical requirements as part of their application.
  • Please use the BookJane Health Form OR show proof of the medical requirements as outlined below. If there are any incomplete items due to medical, pregnancy, religious or other reasons, please have your Health Care Provider provide a note to explain the reason(s).
1 – Tuberculosis (TB)
  • A 2-step TB Skin Test is required. Please see below for exceptions:
  • If you already have a 2-step TB Skin Test, then you must upload this 2-step TB Skin Test and a new 1-step Skin Test.
  • If you have a documented history of a previous positive TB Skin Test (induration measuring equal to or greater than 10mm) or Active TB, a TB Skin Test is NOT REQUIRED. You must show your Chest X-Ray results.
  • If either TB Skin Test Step is POSITIVE (= to or > than 10mm induration) please show Chest X-Ray date taken and results
2 – Tetanus / Diphtheria (Tdap)
  • A T/D booster is required every 10 years.
3 – Measles / Mumps / Rubella (MMR)
  • Documented proof of MMR vaccine OR laboratory blood test results proving immunity to Measles, Mumps and Rubella is required.
4 – Varicella (chickenpox)
  • Documented proof of Varicella vaccine OR laboratory blood test results proving immunity to Varicella is required regardless of history of illness.
5 – Hepatitis B (HB)
  • Documented proof of Hepatitis B vaccine OR laboratory blood test results proving immunity to Hepatitis B.
6 – Influenza (flu)
  • Annual Flu shots are recommended every October or when the vaccine becomes available.

  • Please use the BookJane Health Form OR show proof of the medical requirements as outlined below. If there are any incomplete items due to medical, pregnancy, religious or other reasons, please have your Health Care Provider provide a note to explain the reason(s).
MANDATORY MEDICAL REQUIREMENTS 1a – SENIOR CAREGIVERS - Tuberculosis (TB)

What is the referral program?


Refer great caregivers like yourself to sign up with BookJane and get cash rewards. Earn $50 once your referee works 50 hours, and another $100 once your referee works another 100 hours. Remind your friend to give us your name. Your name must be given to us prior to their approval.




How do I download the BookJane app?





How do I apply?


Download the BookJane app to start your application process! Choose an option below:

1a. Receive a text link by entering your mobile number: https://bookjane.com/download-our-app
1b. The BookJane App is available on Google Play Store and Apple App Store. 2. Upload all your required documents. 3. Sit back and let our team review your profile and approve you!




How do I upload my mandatory documents?


After you log into your app, please follow these steps:

  1. Click on "Settings" in your menu bar. (This is on the bottom right hand corner!)
  2. Click on "Edit Profile". (This will be the first heading!)
  3. For iPhones, click on "Documents". (Scroll all the way to the bottom!)
  4. For Androids, click on "Approval Documents". (Scroll all the way to the bottom!)
  5. Click "Add Photo"
  6. Click on "Take" for a brand new photo OR click on "Select" for a photo in your photo album.
  7. After you have uploaded your photo, press "Save". (This is in purple right at the bottom!)
If you are certain you have uploaded 100% of your required documents, email jobs@bookjane.com to request for an update.
